Microsoft 365
Managed Properly.
Microsoft 365 is the operating system of the modern small business. Email, files, meetings, identity, and security all flow through one platform that most SMEs are paying for but only half-using.
RefynIT handles every layer of Microsoft 365 for our clients including licensing optimisation, tenant configuration, security hardening, user lifecycle, and ongoing day-to-day support. We're a Microsoft Cloud Solution Provider via our partner Pax8, authorised to sell, deploy, and support Microsoft 365 services to UK businesses.
MOST BUSINESSES PAY FOR MICROSOFT 365. WE MAKE THEM ACTUALLY USE IT.
Default Microsoft 365 tenant configurations are designed for general use, not your business. They ship with public-by-default file sharing, no MFA enforcement, no conditional access policies, and no data loss prevention. The security features you're paying for in your licence - often the most expensive line item - aren't enabled until someone enables them.
We tune the platform to your business, lock down what should be locked down, and surface the features you're already paying for but not using.
| Area | What We Handle |
|---|---|
| Licensing & Cost Optimisation | Right-sizing your subscription mix so you're not overpaying for features you don't use. We review licensing quarterly as user counts and feature requirements change. |
| Tenant Setup & Configuration | Secure baseline configuration for new tenants, hardening passes for existing ones. Every setting that matters, reviewed and documented. |
| Security & Conditional Access | MFA enforcement, conditional access policies, privileged access management, identity protection. Granular control over who accesses what, from where, on which devices. |
| User Lifecycle Management | Joiners, movers, leavers. Full provisioning and deprovisioning workflows, including secure mailbox handover, licence reclamation, and revoking access when people leave. |
| Exchange Online | Mailbox management, distribution lists, shared mailboxes, calendar permissions, mail flow rules, and email migration support from other platforms. |
| SharePoint & OneDrive | File structure design, permission models, retention policies, sync troubleshooting, and external sharing controls. |
| Microsoft Teams | Calling, meetings, channels, guest access, and Teams governance policies. Including Teams Phone deployment for businesses moving away from traditional phone systems. |
| Microsoft Intune | Device management, application deployment, compliance policies, and mobile device management for Windows, macOS, iOS, and Android. |
| Microsoft Copilot | Deployment, licensing, governance, and user enablement. We help you decide whether Copilot makes sense for your business before committing to per-user costs. |
Both Refyn Lite and Refyn Complete clients receive the same depth of platform management.
YOUR TENANT WAS BUILT FOR EVERYONE. WE BUILD IT FOR YOU.
Microsoft 365 tenants ship with defaults designed to be safe for everyone, which means they're not optimal for anyone in particular. Public-by-default sharing for external collaboration, permissive guest access, no conditional access, no DLP, and no retention policies.
These defaults work fine until you have specific needs including compliance requirements, regulated data, multi-site working, or just a business that's grown past the point where everyone-can-see-everything is acceptable.
Our tenant management service tunes Microsoft 365 to your business based on how you work, what data you handle, and who needs access to what. Documented, reviewed quarterly, and adjusted as your business evolves.
EXTENDING BEYOND THE TENANT
Microsoft 365 management goes further than the tenant itself. Every device accessing your data needs to be visible, managed, and secured - and that's where our broader technology stack comes in.
Through our unified endpoint management platform, we extend remote monitoring and management across every endpoint in your environment alongside Microsoft Intune. That means full device visibility, software deployment, patch enforcement, and remote remediation - whether the device is Microsoft-managed, BYOD, or somewhere in between.
One platform, one pane of glass, one team responsible.
No gaps between your tenant security and your endpoints.
FAQ
-
Yes - we handle migrations from Google Workspace, on-premises Exchange Server, Office 365 (legacy tenant consolidations), and other email and file platforms.
Migrations are scoped and quoted separately from managed service contracts because every migration is different. Most complete within 2-6 weeks depending on user count and data volume, with no service disruption to your team during the transition.

We're a Microsoft Cloud Solution Provider via our partnership with Pax8 - Microsoft's largest indirect distribution partner. This authorises us to sell, deploy, and support Microsoft 365 services to UK businesses.
The CSP indirect model is how most UK MSPs at our scale operate, and it's how Microsoft now prefers SMEs to be supported. Pax8 handles the direct Microsoft relationship and licensing infrastructure; we handle the customer relationship and technical delivery.

Microsoft's native data protection in M365 is designed for short-term recovery (deleted item recovery, retention policies) - not full disaster recovery from corruption, ransomware, malicious deletion, or compliance-driven retention requirements.
We deploy third-party backup tooling for mailboxes, SharePoint, OneDrive, and Teams as part of our add-on service. Daily backups, four times a day, encrypted storage and verified restore testing.

It depends. Copilot is genuinely transformative for businesses with the right document discipline and data structure.
Before recommending Copilot, we assess whether your tenant is ready for it: data classification, permission hygiene, retention policies, and user adoption capacity. Most SMEs need 2-3 months of platform tuning before Copilot becomes worth the per-user cost.
We're happy to have an honest conversation about whether Copilot is right for your business right now, or whether the budget is better spent elsewhere.

Yes - and most of our clients arrive that way.
Typical issues we resolve: licensing inefficiency (paying for E3 when E5 or vice versa makes more sense), uncontrolled external sharing, security policies that were enabled and forgotten, dormant accounts still consuming licences, SharePoint structures built ad-hoc by users who've since left.
Our standard onboarding includes a full M365 audit that surfaces these issues with a prioritised remediation plan. You get to see exactly what state your tenant is in before deciding what to fix.
